SAFETY

Fleet safety can be best understood by reviewing team practices and written policies. Success depends on:

  • Safety culture, policies, and adherence

  • Vehicles, equipment, and shop facilities condition

  • Driver, operator, mechanic/technician, supervisor and manager training and understanding

  • FMCSA and TRIR scores

Compliance

Fleet compliance refers to meeting legally required minimums, contractual requirements and performance expectations.

  • CHP/DOT

  • CARB

  • MCP/BIT

  • CalOSHA/OSHA

  • EPA

  • Department of Toxic Substance Control (DTSC)

  • DMV - Titles and Registrations

  • Equipment and Operations Permits

  • Mechanic/Technician Qualifications and Certifications

  • Driver/Operator Qualification

Maintenance Programs

Maintenance programs can be simple, complicated or a combination. There are four basic types of maintenance strategies: reactive, preventative, predictive and reliability-centered. All have a place in a top-performing fleet. At a minimum, the programs that are enacted need to meet the following requirements:

  • Operational requirements

  • Legal requirements

  • DOT, CHP

  • Manufacturer warranty requirements

  • Budgetary requirements

AVAILABILITY & RELIABILITY

Are the assets you need available when you need them? Are breakdowns preventable? Here are some key considerations:

  • What are the operational requirements? What are the maintenance requirements?

  • Current asset/maintenance failure rates

  • Data Quality

  • Fleet activity schedules

    • 7 days/24 hours? M-F 9-5?

  • Current asset age and usage

  • Mechanic/technician/driver/operator skills, training, and mindsets

COST CONTROLS

Everything has a cost. Beyond the direct maintenance choices and practices (which are critical to managing and controlling costs), here is a brief list of the levers to work:

  • PO processes

  • Inventories

  • Suppliers, contracts and agreements

  • Warranties and warranty requirements

  • Labor utilization

  • Asset utilization

CAPEX/OPEX BUDGETS

Building effective capital and expense budgets for a fleet takes a solid understanding of the opportunities and constraints of the business, the current and forecasted markets they operate in, and the effects of current and expected regulations. Some examples:

  • Is the business expected to grow, decrease or stay the same in the coming year and years?

  • Are there asset replacements required or planned? When and why?

  • Current age and usage of existing assets

  • Current labor force tenure, costs, and expectations

  • Forecasts from key suppliers

Marketing

A fleet can be more than transportation, it can also serve as advertising. Does your fleet advertise for you? Here are some aspects to leverage your fleet:

  • Does your fleet connect with your customers and the public in a way that supports your brand image?

  • Do your vehicles look like the brand image you and your customers want?

  • Can or should your vehicles be branded or should they travel incognito?

  • Do you have the opportunity to carry other ads?

Business Alignment

Is your fleet organization supporting your team? Or is it an afterthought? Is it viewed as a partner or as a problem?  Alignment within your business is essential. Solid teamwork skills and a team culture are essential to every business. Improving the alignment of your fleet team and fleet operations team brings many benefits:

  • Increased capacity of the fleet

  • Improved utilization of assets

  • Decreased labor costs

  • Reduced turnover and improved employee relations

  • Improved customer service
